15 Questions to Ask a Wedding Venue Before You Book

Take these 15 practical questions to a wedding venue visit and clarify capacity, total price, menus, timings, facilities and cancellation terms.

A venue visit can move quickly: you see the stage, discuss a menu, hear an attractive package price and leave with several important details still unclear. A prepared question list keeps the conversation focused and makes quotations easier to compare later.

Ask the same questions at every shortlisted wedding hall, marquee or farmhouse. Record the answers, then request written confirmation of anything that affects price, timing or service.

Availability, space and guest experience

Begin with the fundamentals. A date being available does not always mean the entire property is exclusive, and a headline capacity does not explain the actual room layout. Ask to see the exact space you would receive and how it will look at your expected guest count.

  • 1. Is our preferred date available, and is there another event on the property that day?
  • 2. What is the comfortable seated capacity with our stage, buffet and walkways included?
  • 3. Which halls, lawns, entrances, parking areas and preparation rooms are included?
  • 4. Is the venue accessible for elderly guests and wheelchair users?

Price, payment and changes

Ask for the amount you are likely to pay, not only the starting package. An itemised quotation makes it easier to see which extras are optional, which are unavoidable and whether two offers actually include the same services.

  • 6. What deposit confirms the booking, when are instalments due and which payment methods are accepted?
  • 7. What are the cancellation, refund and date-change terms?
  • 8. How are additional guests, children, vendor meals and a lower final attendance charged?

Timing and event-day operations

Timings affect vendors, photography, food service and the departure of guests. Confirm when setup may begin, when guest time starts, when the event must finish and what counts as overtime. Ask who will be your responsible contact before and during the event.

  • 13. Who is our event-day contact, and how many service, security and parking staff are assigned?

Comfort and contingency plans

Reliable backup arrangements matter more than promises that a problem is unlikely. Ask the team to explain what happens during a power outage or unexpected weather, which spaces and systems are covered, and how quickly the backup can be used.

  • 14. What power backup, cooling or heating, washroom maintenance and emergency support are available?
  • 15. For outdoor areas, what is the written rain, wind or extreme-temperature backup plan?

What to do after the tour

Do not rely on memory when comparing venues. Put each answer beside the matching quotation, note anything that still needs confirmation and calculate the likely total at the same guest count. If an answer changes, ask for the revised commitment in writing.

Before paying a deposit, read the final quotation and booking terms line by line. Check the event date, spaces, timings, guest basis, menu, included services, total, payment schedule and cancellation policy.
